Retention Policies & Tags
I am importing an existing Exchange infrastructure into Cloud Panel. Generally it is going well. But I am having issues with Retention Tags & Policies.
The Exchange installation already had two custom tags created, one to clean out spam folder and one for deleted folder. Then there is a custom scheme, that includes the above two tags.
In CP I have gone into the CP Settings / Exchange / Retention Policies and Tags and performed a refresh, and all of the above are listed. I have opened each in turn in CP and tried to save it to ensure no errors, and all looked good.
Now with CP within a company, I am trying to assign a retention policy to the whole company, I cannot find any setting for this. But I do find a Retention Policy setting in the User/Exchange settings. However, the dropdown box does not list any options, either the Exchange standard or my custom ones.
Do I have to create tags and policies within each company? If so, that is very long winded, and what is the point of the global setting? Also, do I have to assign the policy individually for each user? That would be very time consuming.
I have tried to look through the documentation, but I cannot find any details of how this works.
Thanks
In the latest version (3.2.0335) you can now bind retention policies to distribution groups which will allow you to assign the policy to all users. For example you can create a dynamic distribution group and bind it to “Mailbox Users” which will essentially be all users and it will make sure all users keep that retention policy. The CloudPanel service will check that every so often and reassign it to the user if it has been removed as well.
As for the global retention policy, I do see this and will have to look at why we have the global section but you have to bind it to a company. It should allow you to no assign it and could be used with multiple companies. I will have to look into this because this could possibly be a bug.
Thanks for the feedback.
I have tried a few experiments, by creating new tabs and policies directly in CP, and those also can be seen from within a company user. Currently it seems the only way to use them in a company is to create a new policy for each company.
Whilst I could do this for the small number of companies I have, I think it would be better if the global settings applied to all companies.
Please let me know what you find.
Many thanks.
@marklft I will check into this and see why the global section is requiring you to select a company instead of just being global.
@jdixon , Hi!
I’ll report similar issues/questions regarding Retention Policies and tags in v. 3.2.0350:
1) When trying to create policy or tag at global level I see no field for company code and getting an error: “Missing Field Company code” (see screenshot provided)
2) Our exchange already has a huge list of retention tags and we want to use them for all tenant’s policies (just to avoid creating new same tags with unique names for every new tenant) : how to import tags from exchange to CP and make them available for policies for all tenants?
Looking into this issue now.
Thanks for notifying us.
Will advise when a resolution is available.
Resolution has been identified and should be ready by end of day
@ad-it-dept We have the fix in place but haven’t published a new version yet. Do you want us to send you the files and instructions on manually updating or wait till we have the installer ready?
